OVERVIEW 

SPPG is hiring an Office Manager to support our work.

All team members work together to deliver high-quality services to internal and external clients on a timely basis in a manner consistent with SPPG's culture and philosophy. 

 

We are looking for a dynamic self-starter with passion, strong organizational skills, and experience. This is the ideal role for someone who has 3+ years of work experience. We hope you consider joining our team!

 

GENERAL DUTIES 

Administrative

  • Responsible for overseeing and/or creating processes to ensure the smooth functioning of the office 

  • Order and track office supplies

  • Work with the IT vendor to ensure technology supports business needs including equipment and server

  • Work with the copier vendor to ensure copier and printer supports business needs

  • Work with the phone vendor to ensure phone system supports business needs

  • Serve as liaison to landlord 

  • Schedule team events and meetings to ensure team building and training on a regular basis

  • Serve as the Assistant to the President and support scheduling and correspondence

 

Financial

  • Conduct bank transactions

  • Work with staff to track time and deliverables

  • Invoice clients

  • Manage the accounts receivable process

  • Work with a professional financial manager to ensure accurate monthly financials, compliance, and accurate tax completion

  • Submit time to payroll vendor and ensure that employees receive their pay in a timely and accurate fashion 

  • Manage PTO tracking software and provide quarterly balance updates to employees

  • Work with vendor and assist employees with benefits enrollment and questions, verifies all insurance billing, maintains employee database and files, and ensures compliance with required benefit notices.

 

Human Resources

  • Annual review of policies and procedures manual

  • Onboarding/Offboarding of SPPG employees

  • Coordinate annual employee performance review process

  • Lead candidate search process for open positions including screening interviews and scheduling

 

Other Duties 

Other tasks or responsibilities that may arise from time to time as directed.

  • Highly organized with an ability to stay on task independently, multitask, and serve as a high-performing member of the team. 

  • Ability to identify and anticipate issues and problem solve.

  • Maintain a professional disposition when interacting with clients and stakeholders, including when navigating disagreements and difficult conversations. 

  • Excellent customer service skills.

  • Take direction and work as a member of a team. 

  • QuickBooks Desktop/Online experience preferred.

  • Computer skills - uses Word, Excel, Outlook, Teams, PowerPoint, and Constant Contact 

 

EDUCATION:  

Associates Degree. Experience may be considered in lieu of some education.
